Location: Waterloo, Ontario

Reporting to the HR Generalist, the HR Assistant is responsible for providing efficient, accurate and confidential administrative support to the Human Resources department and will assist with the following areas: recruiting, onboarding, training and various related administrative duties.

Key Responsibilities

  • Maintain confidentiality and accuracy for all employee and company documentation.
  • Participate in the successful recruitment of new employees including:
    • updating job descriptions prior to posting
    • posting roles on external recruitment portals
    • screening applicant resumes
    • scheduling interviews
    • conducting interviews
    • communicating with candidates throughout the recruitment process and
    • assisting with skills assessments as required.
  • Assist with new employee onboarding process including:
    • sending welcome emails to new employees
    • scheduling orientation sessions
    • creating and organizing onboarding material
    • assigning online training using HR training tool
    • act as the key contact on the employee’s first day and ensure their first day goes as scheduled.
  • Assist in employee data management by maintaining the electronic and physical employee personnel files.
  • Assist with annual employee performance review process
  • Ongoing administration of HRIS (Dayforce)
  • Provide administrative assistance as it pertains to communicating and documenting payroll changes and adjustments
  • Assist with benefit administration
  • Assist with implementing Human Resources department initiatives
  • Assist with policy updates as required
  • Assist with creating and scheduling employee learning programs
  • Other administrative duties as required and assigned



  • Degree or diploma in administration or related field
  • Minimum 1-2 years administrative experience
  • Proficient knowledge of Microsoft Office
